Intake and Access Operations Manager

Areas of Responsibility:

Supervisory

  • Hire, train, and supervise reception, intake, and scheduling staff
  • Provide coaching, performance feedback, and evaluations
  • Ensure adequate staffing, coverage, and accountability across functions
  • Foster a collaborative, customer-focused team environment

Managerial

  • Oversee daily front-end operations to ensure efficient, client-centered service
  • Ensure timely and professional handling of calls, referrals, and client interactions
  • Maintain compliance with HIPAA and agency policies
  • Coordinate with internal teams to resolve access, scheduling, and intake issues

Operations

  • Monitor workflows for intake, scheduling, and reception; implement improvements as needed
  • Track key metrics and address performance gaps
  • Run reports, identify errors, and support data-informed decision-making
  • Provide operational support during high-demand periods as needed

Requirements:

  • Minimum of two years office experience.
  • Minimum of one year supervisory experience.
  • Proficiency with O365 suite.
  • Preferred medical office/intake experience

The Intake and Access Operations Manager oversees the daily operations of reception, intake, and scheduling functions to ensure efficient, timely, and client-centered access to services. This role supervises staff, maintains workflows, and uses data to support performance and continuous improvement. Intake is the heart and soul of Ryther, so it's super important that it runs smoothly.

If you like problem solving, work well on a team, and have previous supervisory and/or medical office experience, we'd love to hear from you. Bachelor’s degree is preferred; relevant experience may be substituted. This position is a Monday - Friday 9-5:30pm.
